Privacy Policy
The Royal Glenora Club (“RGC,” “we,” “us,” or “our”) is committed to protecting the privacy of our Members. This Privacy Policy explains how we collect, use, store, and protect personal information when Members use the Royal Glenora Club mobile application (the “App”), including features related to location services and geofencing.
By using the App, Members consent to the collection and use of information as outlined in this Privacy Policy.
 
1. Geofencing & Location Services
What Is Geofencing?
The App may use geofencing technology to enhance the Member experience. Geofencing uses a device’s GPS or location services to create virtual boundaries around specific locations, such as Club facilities or event spaces.
Geofencing may be used to:
  • Send notifications or promotions when a Member enters or exits Club locations
  • Enable location-based features such as arrivals, event reminders, or special offers
  • Improve the relevance of content and services within the App
How We Use Location Data
If a Member enables location services, the App may use location data to:
  • Trigger notifications or actions when entering or leaving a geofenced area
  • Support real-time event notifications and location-based services
  • Collect aggregate and anonymized location trends to improve Club operations and App functionality
Background location tracking may be enabled for certain features but only with Member permission.
Member Control & Consent
Members always remain in control of location services:
  • Opt-In: Location services must be enabled through the Member’s device settings
  • Opt-Out: Members may disable location services at any time, which may limit certain App features
2. Location Data We Collect
When geofencing is enabled, we may collect:
  • Precise location data: GPS coordinates when a Member is near or within a geofenced area
  • Time and frequency data: When and how often a Member enters or exits these areas
 
3. Sharing of Location Data
A Member’s precise location data is used only to deliver App services and is not sold or shared for advertising purposes.
Location data may be shared only when necessary to:
  • Provide specific location-based services through trusted third-party partners
  • Comply with legal, regulatory, or safety obligations
  • Support operational efficiency using anonymized data (e.g., reporting congestion trends for staff planning)
 
4. Disabling Geofencing
Members may disable location services at any time via their device settings. Once disabled, location-based notifications and geofencing features will no longer function.
 
 
5. Protection of Location Data
We take reasonable administrative, technical, and physical safeguards to protect location data, including encryption and secure storage practices. Location data is retained only as long as necessary to support App functionality and is deleted when no longer required.
 
6. Data We Collect
When a Member uses the App, we may collect the following types of information:
Personal Information
Information voluntarily provided by Members, including:
  • Name
  • Email address
  • Phone number
  • Membership-related details
Usage Data
Information about how Members interact with the App, including:
  • Features accessed
  • Time spent in the App
  • Navigation and interaction patterns
Device Information
Collected to ensure compatibility and performance, including:
  • Device model
  • Operating system and version
  • Unique device identifiers
Location Data
Collected only if enabled by the Member. See Section 1: Geofencing & Location Services.
 
7. How We Use Member Information
Collected information may be used to:
  • Provide and improve App services
  • Personalize the Member experience
  • Send important updates, notifications, and customer support communications
  • Ensure App security and prevent fraud
  • Comply with legal and regulatory obligations
 
8. App Permissions & Sensor Data
Depending on features used, the App may request access to:
  • Camera: For photos or videos
  • Microphone: For audio features
  • Biometric data: For authentication and enhanced security
All permissions can be managed through device settings.
 
9. Third-Party Services
If a Member signs in or connects through third-party platforms (e.g., CHO, Gametime, ForeTees, Golf Genius), the App may collect limited profile data as permitted by those services. Use of third-party services is governed by their respective privacy policies.
 
10. Data Security
We implement reasonable security measures to protect Member information. While we strive to safeguard personal data, no method of transmission or storage is completely secure, and absolute security cannot be guaranteed.
 
11. Changes to This Privacy Policy
This Privacy Policy may be updated periodically. Members will be notified of material changes through the App or other appropriate channels.
